Town Seeking New Year's Needham Coordinator

The Town of Needham is seeking a highly qualified individual to fill the position of New Year’s Needham Coordinator for the Town of Needham. This position is the staff liaison between the New Years Needham Committee (appointed by the Board of Selectmen) and the Office of the Town Manager/Board of Selectmen. 

Coordinator provides staff support to the New Year’s Needham Committee. This includes, but is not limited to:

  • Attending all meetings of the New Year’s Needham Committee;
  • Posting meetings and ensuring compliance with Open Meeting Law; and
  • Taking and transcribing minutes.


Coordinator is responsible for correspondence with performers and venue contacts. This includes, but is not limited to:

  • Establishing initial contact for each event and determining availability, costs/fees and contractual requirements;
  • Executing all follow-up correspondence related to contracts and details;
  • Maintaining detailed spreadsheet of performance information;
  • Sharing information with Committee;
  • Requesting from Committee and sending to performer/venue deposit checks; working within the established Town financial policies to ensure proper procurement, payment and account reconciliation is followed;
  • Providing performers with final package including buttons and schedule; and
  • Performing post event duties that include preparing and sending thank you letters and surveys to venue contacts and performers.


Coordinator is responsible for preparation of event schedule. This includes, but is not limited to:

  • Establishment of event schedule, based on data collected from correspondence with performers and venue contacts;
  • Sharing information with Committee;
  • Applying for all necessary building rental/space usage permits;
  • Scheduling Town custodians, safety details and DPW personnel as required;
  • Proofing program information with venue contacts and performers before it goes to print; and
  • Work with Committee to staff venues with volunteers.


The position is part-time, with no benefits, and compensation of $5,000 per year, paid weekly (Schedule C).
